Creating Warehouse Locations

Overview
The purpose of this document is to explain how to use Savance Enterprise Warehouse Manager tool in order to create and edit locations. We will also cover how to move and transfer locations within your warehouse, as well as how to manage your Holding Bins.
Creating Warehouse Locations
To get started from the top menu go to Inventory > Warehouse Manager > Location Management.
By default, we have created a single location called ‘No Location’. This location is used when inventory doesn’t have an assigned location in your warehouse.
To create warehouse locations you must start at a root level/location and drill down using child-level locations to an exact spot. For example, A ‘Root Level’ could be an Area of the warehouse, the next level would be a Row, next level would be Section, and the last level will be where it’s located on the Shelf. A location would look something like this A - R5 - S1. Alternatively, you can have a Counter location that has all items showcased at the counter. You create as many locations but it is very important to organize your roots and levels before you begin.
After you create your Root location, you next will want to add your child-level location.
Now I am going to add child-level Row 5
Now I will add the section of the shelf
Now that my section is completed, I will go through and add another child-level under Root-level A, for Row 5, and create S2 ( for section 2). I will repeat these steps until my warehouse locations are completed. Here is an example for Warehouse Area A (root), Rows 4 & 5 (child-levels) and the Sections on the shelves 1-5.
Assigning Items to Locations
After creating your locations, you can now assign items to this location. In the Location Management screen highlight one of your child-level locations, i.e. A-R4-S5.In the bottom item you will see all items currently assigned to this location. If there are no items the pane will be blank.
To add items to this location, in the bottom right pane, right-click and select ‘add items’
The Inventory Lookup screen will appear. From here you can select the item(s) you wish to add to this location. Once you’ve found the item you wish to add, double-click on the item and it will now appear within the pane. Alternatively, you can select the ‘Find Item’ button and look for items as well.
Once you’ve added an item it will automatically be marked as the default location. This is in case you have the same items in multiple locations, i.e A-R4-S5, and Counter Location, warehouse location should be marked as the default.
You may also Adjust OnHand quantities once you’ve added an item to its location. Highlight the item and right-click and select ‘Adjust OnHand’
Location Transfers
In the scenario, you need to either transfer stock from one location to another or move the location and stock all together this next section will cover both processes.
Transfer OnHand to Location
If you have the same item in multiple locations and you need to transfer stock from one location to another you can do so by finding the default location for the item. Once you’ve found the item highlight it.
Next, drag the item to the alternate location in the Location Tree. Once you’ve selected the alternate location you an option screen will appear.
Select ‘Transfer OnHand to Location’, next enter the amount of stock you wish to transfer from one location to another.
Move and Transfer Entire Location
If you need to move a location and it’s content and stock entirely you will follow the same steps above, however, you will select ‘Move and Transfer OnHand’. Once you’ve selected this option you will receive a confirmation message to confirm this action.
Now the item and quantity will be removed entirely from that location into the new one.
Holding Bins
Holding Bins are Moving Locations that are a part of the order, return, and receiving processes. By default, Savance has created the following bins:
RECEIVING

Receiving Hold-Bin - after a PO has been received you can move the receiver and its content in the receiving holding bin until it is ready to be received and put away.

Hold for Backorders Bins - If the items above are being held for backorders, they will show on the Held for Backorders screen and on the Putaway Report. This is typically done for soft-linked or hard-linked Purchase Orders. The remainder will be putaway in their Home Locations Put Away Holding Bins - anytime you're receiving material, these items are automatically placed in this bin before you mark “put-away’.
- After you’ve received materials and hit the ‘process backorders’ button you can pick the items for orders and place them in this bin before preparing the orders to be delivered.
SHIPPING
- Shipping Hold Bins - these bins are used when an order is Post Picked and ready for shipment but you have not loaded onto the truck yet. You can Apply Holding Bins at the Line or To All, To Specified at the bottom of the Header tab.
Once Post to Packed you are now in Staging. This is when Packaging Lists and Shipper Driver Copies can be printed.
- Staging Bins- these bins are used in delivery shipments. After a Pick Tick has been pulled the shipper can be placed in a staging bin before it is ready to pack for delivery and shipment at Post Staged and can be found at the Shipping tab at Staging Location. All items on Shipper go to one Staging Location. You are now in Loading.
- In Transit Bins - while in the process of shipping orders, in transit bins are used when the packages are on the truck for delivery. These bins are used to translate these lines to the Manifest. You are now in Delivering stage. Shippers can be invoiced at either the LOADED or DELIVERED stage.

Moving Bins - these are used when returning an item that is good and needs to be placed back into stock and then will be homed in their Default Warehouse Location

Suspect On Hand Bins - during the return process any time you have a bad or unknown status of the returned material, the stock is automatically placed in this bin for further inspection. These are settings at the ADMIN as well as USER GENERAL SETTINGS
- Return to Vendor Holding Bins - Any time you create a RTV and you are waiting to either get a response from the vendor to return the material or, the material needs to be packed and shipped back to the vendor it is placed here.
- You can also create your own holding bins to use within Savance such as Will Calls Bins, Pack & Hold Bins, etc. To create a new bin right-click within the holding bin pane and select ‘Add Bin’
Enter the name, description, type of bin and if it is part of a process i.e. Will Call.
Once you’ve selected, add your new bin will appear under the specific bin type you selected.
You can also delete, edit, remove the default and print a label for the bin just by highlighting the bin name and right-click.
